When to 3D Scan a Build: A Stage-by-Stage Guide

The job wrapped six months ago. Keys handed over, owners happy, everyone's moved on. Then the call comes in: there's a damp patch spreading across the hallway ceiling, and nobody can agree whose pipe is leaking. The plumber blames the roofer. The roofer blames the plumber. And the only way to settle it is to cut a hole in a wall that was signed off half a year earlier.

That phone call is expensive. Not because the leak is hard to fix, but because nobody made a record of what was behind that wall before it closed up. By the time anyone thought to look, the evidence was buried under plasterboard and paint.

This is the part of 3D scanning that doesn't get talked about enough. Most people picture it as a final-stage thing — a polished digital twin of the finished building you hand the client at the end. That version is genuinely useful. But it's almost never the most valuable scan on a project. The capture that saves real money is usually the unglamorous one nobody books, taken at exactly the right moment, before something permanent gets in the way.

So the real question isn't "should I 3D scan this build?" It's when. Get the timing right and a single capture can settle disputes, speed up trades, protect you from a neighbour's claim, and give the owner something they'll actually use for the next twenty years. Leave it to the end and you've got a nice model of a building whose secrets are already sealed inside the walls.

Here's how I think about timing on a construction project, stage by stage.

So, when to 3D scan a build?

The short version: there are four moments on most builds where a 3D capture earns its place. Before you break ground, to record the existing condition of the site and any neighbouring properties. Before the slab is poured, to capture the services and set-out that concrete is about to bury. Before the walls are plastered, to lock in the exact position of every stud, pipe, and cable while they're still visible. And at handover, to produce an as-built record that matches what was actually built — not just what the plans hoped for.

You don't always need all four. But knowing what each one protects you from is the difference between scanning out of habit and scanning where it counts.

What a 3D capture on site actually is

A quick definition, because the term gets thrown around loosely. A 3D capture is a measurable, three-dimensional digital record of a real space. We scan the site, and you end up with an accurate model you can walk through online, pull measurements from, and share with anyone who has a link. Think of it as the difference between a handful of photos and a to-scale copy of the site you can revisit any time, from anywhere. One thing it isn't: a building inspection. I'm not there to pass or fail the work, flag defects, or sign off on compliance — that's the job of a licensed building inspector, and a good one is worth every cent. A 3D capture sits alongside that. It's the permanent visual record of exactly how things were at a given moment. The inspector tells you whether the work is right. The capture proves what the work looked like, full stop. The two go well together, and neither replaces the other.

With that out of the way, here's where capture pays off across a build.

Before you break ground: the existing-condition record

The first capture often happens before a single trade arrives. If you're building close to a boundary, excavating, or working next to established homes — common on tight Gold Coast and Tweed blocks — you're exposed to a very specific risk: the neighbour who insists your work cracked their driveway, their render, or their pool surround.

Maybe it did. Often it didn't, and the crack was there long before you turned up. But without a dated record of the existing condition, it's your word against theirs, and that argument has a way of getting expensive.

This is where an existing-condition capture does its quiet work. We record the neighbouring surfaces and your own site in 3D before work starts, so every existing crack, stain, and chip is captured, measurable, and time-stamped. If a claim lands later, you're not arguing from memory — you're pointing at a model that shows precisely how things looked on day one. Pair it with a building consultant's written dilapidation report and you've got documentation that's genuinely hard to dispute.

Before the slab: capture what concrete is about to bury

Once the slab goes down, a whole layer of your project disappears for good. Under-slab plumbing, drainage runs, conduit, reinforcement, the set-out — all of it vanishes under a few hundred millimetres of concrete the moment the pour happens.

A pre-slab capture records that layer while you can still see it. Months or years later, when someone needs to core through the slab, add a bathroom, or work out why a drain isn't running where the plans say it should, you're not guessing. You've got a measurable record of where everything actually went, not where it was meant to go. And on plenty of sites, those two things aren't the same.

It's a narrow window. The plumber's done, the steel's tied, the pour is booked for tomorrow morning. Twenty minutes with a scanner that afternoon can save a very awkward conversation down the track.

Before the walls close: the pre-plaster capture

If you only do one capture on a residential build, make it this one.

Here's the situation. The frame's up. The electrician, plumber, and any heating or cooling trades have run their services through the walls. The insulation's in. And the next thing that happens is the plasterer arrives and seals all of it inside the walls, where nobody will lay eyes on it again until the next renovation — possibly decades away.

I'll say this plainly, because it matters: a pre-plaster capture is not a pre-plaster inspection. There's a whole industry of building inspectors who attend at this stage to check framing and services against the standards, and booking one is a smart move. What I do is different. I'm there to make the record — a to-scale 3D capture of every stud, noggin, brace, pipe, and cable run, exactly where they sit, before the walls swallow them.

Why does that matter so much? A few very ordinary scenarios.

The owner wants to mount a 50-kilo TV, a heavy mirror, or kitchen cabinetry, and needs to hit a stud or a noggin without putting a drill through a water pipe. With the capture, they can see exactly where to fix. No guessing, no patch-and-repaint.

A leak shows up two years later. Instead of opening three walls to chase it, you check the model, trace the pipe runs, and open one.

A renovation lands a decade on, and the original trades are long gone. The new builder pulls up the capture and knows what's behind every wall before swinging a hammer.

None of that is exciting. That's exactly the point. The pre-plaster capture is the cheapest, least glamorous, most overlooked record on the whole job, and it's the one people are most grateful for years later, when the build is a distant memory and a wall needs opening.

At handover and beyond: the as-built record

The capture most people imagine is the handover one, and it does have a real place. At completion, a 3D capture gives you an as-built record of the finished building — what was actually constructed, which isn't always identical to the drawings you started with.

For the owner or facility manager, that's a living asset. They can share it with a maintenance contractor, plan a fit-out, brief an insurer, or check a measurement without driving to site. For a builder, it's a clean, professional way to close out a project, and a quiet bit of marketing — a shareable record of your work that looks far better than a folder of photos on a phone.

And when the people downstream need more than a model to look at — architects and engineers working in Revit or IFC — that same capture data can be turned into a Scan-to-BIM deliverable: an accurate model of existing conditions they can design straight into. That's the point where reality capture stops being a nice-to-have and starts saving genuine design hours.

So do you need to scan at every stage?

Honestly? No. And I'd rather tell you that than sell you four captures you don't need.

A modest renovation might only warrant a single existing-condition capture at the start. A standard new home usually gets the most value from one well-timed pre-plaster capture. A multi-unit development near boundaries, with complex services and a long maintenance life ahead, might justify capturing at several stages — and on those jobs, the cost of scanning is rounding error against the cost of one buried dispute.

The right answer depends on what's being built, what it's worth, who has to maintain it, and which moments carry real risk. Match the capture to the risk, not to a checklist. If you're not sure where that line sits on your project, that's exactly the kind of thing worth a five-minute conversation before you commit to anything.

Common questions

How accurate is a 3D capture? Accurate enough to pull reliable measurements straight from the model. For interactive walkthrough models you're working to centimetre-level, which is plenty for most building work. When a project needs survey-grade precision — a point cloud feeding a BIM model, say — we capture to that tighter standard instead. The right level of accuracy depends on what you're using it for, and we match the method to the job.

How long does it take, and how disruptive is it? For most residential stages, on-site capture is a matter of hours, not days, and it's non-intrusive: no marks on the walls, nothing pulled apart. Trades can usually keep working around it. You'll typically have the finished model back within 12-24h.

Isn't this just the same as a building inspection? No, and it's worth repeating. An inspection assesses whether the work is right. A capture records what the work is, in measurable 3D. They complement each other, and many of the best-documented jobs have both.

What does it cost? It depends on the size of the space and what you need out of it, so we quote per project rather than pretend one number fits every site. As a rule of thumb, capture is priced by area, which keeps small jobs genuinely affordable and large ones predictable. I'm happy to give you a fixed quote once we know the scope.
